About us

The Magistrates’ Court of Victoria (MCV) is a jurisdiction within the Court Services Victoria statutory authority, and has a long history of providing justice for the people of Victoria in metropolitan and regional courts across the state. The Court determines in excess of 300,000 cases per annum at 51 venues, equating to approximately 90 per cent of all cases that come before Victorian courts each year. The Court aims to be an innovative, accessible and responsive court that provides quality services to the Victorian community.

About the role

This fixed term (12 months) position will provide support to the Court Support and Diversion Services (CSDS) Team to develop clear systems and process for reporting, monitoring and recording of all invoicing and CSDS expenses, including client brokerage, expenses associated with contracted services (housing, AOD etc) and all other costs associated with CSDS.

The Business Support Officer will be required to track existing expenditure and ensure allocation against the correct budgets is occurring, which will include detailed analysis of current invoicing, the case management system (Platypus) existing manual reporting and the Oracle financial system. This Business Support Officer will require the understanding of complex financial systems and processes. Being responsible for working with the CSDS leadership team, Finance team and others across the court to understand current systems and process within CSDS and make recommendations to develop and implement systems that ensure greater tracking and transparency of expenditure.

About you

You will need to demonstrate the following skills and experience:

  • Demonstrated ability in developing reporting on financial allocations and budget, including detailed analysis of expense types, service providers used, locations associated with expenses and themes and trends in costs
  • Experience reviewing invoicing, expense allocation, recoding, and reporting of financial transactions
  • Experience in working with managers, project team members and front line staff to identify current processes and areas improvement within current systems
  • Ability to work with members of teams across a complex organisation or department including finance and other teams responsible for expense management to understand and identify approaches across the court in managing expense allocation.
  • Demonstrated ability in developing reporting on financial allocations and budget, including detailed analysis of expense types, service providers used, locations associated with expenses and themes and trends in costs
  • Provide advice and guidance to General Manager and Operations Managers within CSDS regarding the development of suitable reporting and management processes
  • Prereparing and undertake collection, analysis and presentation of both financial data and process and system recommendations to leadership within SCP
  • Demonstrated knowledge of finance and budget processes within large complex financial environments, including large organisations or the government sector
  • Relevant qualifications or experience in accounts payable, accounts recieveable and financial systems and process
  • Demonstrated knowledge and experience in using business systems including but not limited to: Excel, Oracle and case management or business management systems.
